Financial System Users (AIS)

AIS is the VCCS Web-based administrative information system. The system is used to record cash receipts, make vendor payments and travel payments and to perform all other types of financial functions needed for a financial system. In addition, AIS, which also has asset management functionality, is structured to comply with generally accepted accounting principles.

To obtain AIS access, an employee should complete the Network Access Request Form located on the intranet under Forms/Technology Services and submit to their supervisor for approval. The supervisor should then forward the approved request to the Budget and Finance Director.

Employees with new grants or activities for which separate financial tracking is needed should contact the Budget and Finance Director to establish a new department. In the case of grants, a copy of the grant award is required to be forwarded to the Budget and Finance Director before a department number can be requested. 

Accessing departmental budget information

  • Login to AIS
  • Select Commitment Control
  • Select Budget Reports
  • Select Budget Transaction Detail
  • Establish Run Control ID if not already done
  • Select Search
  • Select an Item from Search List and Hit Enter to get to the Commitment Control Budget Transaction Detail Report

At the Commitment Control Budget Transaction Detail Report, complete fields as follows:

  • For Unit: Enter LF298
  • For Ledger Group: Org-Exp
  • Transaction Type Option: All
  • Commitment Control Date Option: All
  • Ledger Type Option: All
  • Type: Leave Blank
  • Date From: Enter beginning date to be included in budget report
  • Date To: Enter ending date to be included in budget report
  • Commitment Control Ledger Type: Expense or Recognized Revenue
  • On the line for Department, check the chart field box and enter the department number for which budget information is desired.
  • At the bottom of the page, select save.
  • Then go to top of page and select run to go to the process scheduler request.

On the Process Scheduler Request page, ensure PSUNX is selected as the server name.

  • Select Okay.
  • Select process monitor.
  • Hit refresh periodically until Run Status indicates "success" and Distribution Status indicates "Posted."
  • Select Details.
  • Select View Log/Trace.
  • Select the PDF file from the file list.

The budget transaction report for the requested department is then available for review.
